This Privacy Policy describes how UAB “LAT Grupė”, code 300709638, address Metalistų g. 6B, 78107 Šiauliai, Lithuania (“Provider”, “we”, “us” or “our”) collects, uses, discloses, and protects personal data when you as a User (employee or representative of the Client), Client representative, or Website Visitor access and use the proprietary computer software known as Fleetmaster (the “Software”) or interact with our website and services.

Definitions

Software: the proprietary computer software known as FleetMaster, used to generate and optimize multi-stop routes, schedule order execution, perform GPS tracking, and related logistics functionalities.

Client: a person who has entered into an agreement with the Provider to use the Software.

User: an individual working for or authorized by Client to use the Software services for the purpose of or in connection with Client’s professional fleet management activities.

Client representative: an individual who represents the Client for contractual, commercial, or administrative purposes.

Website visitor: an individual who visits or interacts with our website, irrespective of whether they are a User or Client representative.

Fleet Data: Includes any data input by the Client or Users or generated through the use of the Software, including: vehicle information, licenses, credentials, and telematics, location data and remote diagnostics, maintenance needs, mileage, and driving time, user identification data (e.g., name, surname), order and communication data, any other operational, fleet, or user-related data.

Data controller and Data processor role

The Client acts as the Data Controller of Users’ personal data. The Provider acts as a Data Processor, processing such data on behalf of the Client, unless otherwise determined by applicable law.

With respect to Website visitors and Client representative, the Provider acts as a Data Controller, processing personal data collected through cookies, contact forms, other web-based interactions or using services.

Types of personal data processed

Depending on your role (e.g., User, Client representative, Website visitor) and the configuration and use of the Software or Website, we may process the following categories of personal data

  • Identification information (name, surname);
  • Contact information (if applicable: email, phone);
  • Location data (e.g., GPS data of vehicles);
  • Operational data related to fleet and route management;
  • Communication data (messages, logs between Users and the system, Clients);
  • Usage data (logs, diagnostics, system interaction records);
  • the data collected through cookies, log file, device identifiers;
  • Technical and usage data: IP address, browser type and version, operating system and device type, date, time, and duration of visits, pages viewed and interaction patterns;
  • Cookie and tracking data;
  • Other related data.

Purposes of Processing

We process personal data for the following specific and legitimate purposes, as required to provide and improve the Software and associated services, including but not limited to:

  • Providing access to and operation of the Software;
  • Executing and optimizing route planning and vehicle tracking;
  • Performing diagnostics, analytics, and maintenance of the Services;
  • Ensuring security, integrity, and compliance with contractual obligations;
  • Assisting the Client with user management and operational monitoring;
  • Detecting and preventing unauthorized access, fraud, abuse, or other malicious activities;
  • Responding to inquiries, managing contractual relationships, and communicating with Client representatives;
  • Operating and securing the website, analyzing website usage, and enhancing user experience for Website visitors.

Legal Basis for processing

The primary legal basis for the processing of personal data is the contractual relationship between the Provider and the Client. The Provider processes User and Client representatives’ data as necessary to deliver the Software and related services to the Client, enable the Client’s employees or authorized Users to access and use the Software in accordance with its intended purpose, execute fleet and route management operations in line with the terms agreed between the Provider and the Client.

In specific cases, the Provider may process personal data based on its legitimate interests. These legitimate interests include: ensuring the security, functionality, and integrity of the Software and the underlying systems, preventing misuse, fraud, or unauthorized access to the Services, performing internal diagnostics, anonymized analytics, and improvements to the Software, assisting with the resolution of incidents, support requests, or disputes, etc.

For Website visitors, the legal basis for processing personal data is the Provider’s legitimate interest in ensuring the functionality, security, and improvement of the Website, as well as the visitor’s consent where required, for example, in relation to the use of non-essential cookies or direct marketing communications.

Marketing activities

You can register for our newsletter and for other marketing emails (“Subscribe now”). When you register, we will ask you for your permission to use your email address for the purposes of sending you marketing emails containing the latest information on our products and services. We base such collection and use on your consent.

Your permission for the sending of marketing emails can be given and withdrawn by you at any time with future effect. You can click “Unsubscribe” at the end of the marketing email.   • Client’s internal stakeholders, in accordance with their instructions.

We ensure all sub-processors comply with equivalent data protection obligations.

  • Standard Contractual Clauses approved by the European Commission;
  • Adequacy decisions;
